To even out the paper tone a bright light relatively far away would really help you. Far away is needed to not see the fall-of of the light on the paper. Getting rid of your hand will require some advanced masking, no easy click and go solution there that I can think of.

The camera specs you've added are not very helpful, as they're a bit generic. Could you maybe add the camera brand and type? Even better would be if you would add properties of the recorded video, especially the framerate.

Keep in mind that powerpoints are sometimes held in darker rooms as that enhances the image beamd on the screen or wall. If you would add a light source for video, this would decline the contrast of the beamed image.

Exactly those heuristics and automations (e.g. auto white-balance) make it hard to get consistent looking footage. As a human you can judge better than a computer what WB or exposure setting should be used for a certain scene. I'm only familiar with a plugin that is used to minimise flicker ( = rapid brightness change) in time lapses. It's called GBDeflicker and does a pretty good job when used with time-lapses. I have not tried it in another setup.

Ah I see. Isn't it easier to just have someone press the button when someone enters the room without fiddling with sensors? Of course it would be nice if it would work, but I would consider it more as a bonus.
